This policy applies to two categories of people:
- Tenants — people who create an account on Vibenar to host webinars.
- Attendees — people who register for and attend webinars hosted on Vibenar.
2. Information We Collect
2.1 Tenant Information
When you create a Vibenar account, we collect:
- Name, email address, and password
- Company or business name
- Billing information (processed by our third-party payment provider; we do not store card details)
- Webinar content you upload (recordings, slides, images, text)
- Usage data (features used, webinars created, login activity)
2.2 Attendee Information
When attendees register for or attend a webinar, we collect on behalf of the tenant:
- Name and email address (from the registration form)
- Any additional information the tenant adds to their registration form (e.g., company, role)
- Engagement data during the webinar (watch time, poll responses, chat messages, CTA clicks)
- Device and browser information
- IP address (used for geographic optimization of P2P streaming)
Tenants are the data controllers of their attendees' data. We process this data on behalf of tenants as a data processor.
2.3 Automatically Collected Information
We automatically collect:
- Browser type and version
- Operating system
- Pages visited and time spent on our website
- Referral source
- Cookie data (see Section 7)
3. How We Use Your Information
We use collected information to:
- Provide, operate, and maintain the Service
- Process payments and manage subscriptions
- Send transactional emails (account confirmations, billing receipts, webinar reminders)
- Provide customer support
- Generate analytics and insights for tenants (lead scoring, engagement reports)
- Improve the Service and develop new features
- Detect and prevent fraud or abuse
- Comply with legal obligations
We do not sell your personal data to third parties. We do not use attendee data for our own marketing purposes.

We share data only in these circumstances:
- With tenants: Attendee data is shared with the tenant who hosted the webinar the attendee registered for.
- Payment processor: A third-party payment provider processes all payments, invoices, and tax compliance on our behalf. Their privacy policy applies to payment data, and the specific provider will be disclosed prior to checkout.
- Service providers: We use third-party providers for email delivery, SMS, hosting, and analytics. These providers are bound by data processing agreements.
- Legal compliance: We may disclose data if required by law or to protect our rights, safety, or property.
5. Data Security
We implement appropriate technical and organizational measures to protect your data, including:
- End-to-end encryption for webinar streams
- Encryption of data in transit (TLS) and at rest
- Secure password hashing
- Regular security reviews
- Access controls limiting employee access to personal data
No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security. However, we take all reasonable precautions to protect your data.
6. Data Retention
We retain your data as follows:
- Active accounts: Data is retained for the duration of your account.
- Cancelled accounts: We retain account data for 30 days after cancellation to allow for reactivation. After 30 days, your data is deleted.
- Attendee data: Retained as long as the tenant's account is active. When a tenant cancels, their attendee data is deleted per the same schedule.
- Billing records: Retained for 7 years for legal and tax compliance.

7. Cookies
We use cookies and similar technologies for:
- Essential cookies: Required for the Service to function (authentication, session management).
- Analytics cookies: Help us understand how the Service is used (anonymized).
- Affiliate tracking cookies: Used to attribute referrals to affiliate partners (duration: up to 90 days).
You can control cookie preferences through your browser settings. Disabling essential cookies may prevent the Service from functioning properly.

10. Children's Privacy
The Service is not directed to individuals under 18 years of age. We do not knowingly collect personal data from children. If we become aware that we have collected data from a child, we will delete it promptly.
